Lead follow-up automation
The unglamorous plumbing between a form submission and a booked job. Built once for $1,250, running on your tools, owned by you.
$1,250
one time, built in a week. Optional $199/mo to keep tuning it.
Nearly every shop we audit has the same two holes. New leads sit for hours before anyone touches them, and quotes go out and never get chased. Both are boring, both are fixable in a week, and both are worth more than another thousand visitors a month. We build the sequence on the tools you already pay for, hand you the keys, and leave. There is no platform to rent from us.
- 01
A map of what happens now
Every way a lead reaches you and what happens to it, written down before anything is automated. Automating a broken intake just makes it fail faster and more politely.
- 02
Instant acknowledgement, under sixty seconds
Every form and every text gets a real reply with a name and a time, plus an alert to whoever is on duty. Response time is the single strongest predictor of whether a lead becomes a job.
- 03
Quote follow-up sequence
Four touches over two weeks, text and email, written in your voice, each one short and each one asking a different question. Most shops send the quote and then nothing at all.
- 04
Review request at job close
Fired by the job being marked complete, not by a calendar, and routed so the request names the service. Review velocity is a local ranking input and this is the cheapest way to hold it steady.
- 05
Reactivation for old quotes
One clean pass over the quotes that went quiet in the last year. This alone has paid for the build more than once.
- 06
Built on your stack
Jobber, Housecall Pro, ServiceTitan, HubSpot, Google Workspace, Twilio, n8n or Make. We use what you have and we document every piece of it.
- 07
Handover you can actually use
A one-page diagram, every credential in your name, and a short recorded walkthrough. You can fire us and keep all of it.
- Cold outreach sequences to purchased lists.
- Anything that sends without a human able to see and stop it.
- Buying you new software. If a subscription is needed we tell you the cost before we build.
Right for
A shop sending more than ten quotes a week, or one where leads arrive through three or four channels and nobody is certain all of them get answered. Also worth it for anyone whose reviews arrive in bursts whenever somebody remembers to ask.
Not right for
A business with so few leads that following up by hand takes ten minutes a day. Automate that and you have spent $1,250 to save ten minutes.
All-in-one platform, done for you
$300 to $500/mo, ongoing
The automation lives inside their platform. Stop paying and it stops working, along with your pipeline history.
Automation consultant, hourly
$120 to $200/hr
Fine work, open-ended scope, and the cost of a small build is hard to know in advance.
WARDORX
$1,250 once
Fixed, one week, running on your accounts. The optional $199/mo is tuning, not rent.
The part we care about is ownership. Automation that only runs while you keep paying a platform is leverage against you, and switching later means rebuilding the whole thing during a busy season. This is built where your data already lives.
- Is this AI, or is it just automation?
- Mostly just automation, and that is the honest answer. Rules and timers do the heavy lifting because they are predictable and you can explain them to a customer. We use a model where it genuinely helps, like summarising a long voicemail or sorting an enquiry by job type, and nowhere else. A model deciding when to text your customers is a bad idea.
- What if we change software next year?
- The map and the documentation transfer. The connections get rebuilt, which is a smaller job than the original because the thinking is already done. We will quote it when you get there, and you are free to have someone else do it.
- Do you need access to our customer data?
- We need access to the systems during the build, on accounts you create and can revoke. We do not export your customer list, and the data stays in your tools. There is a short data handling note in the agreement rather than buried in terms nobody reads.
- What does the $199 a month actually buy?
- Monitoring that the sequences are firing, monthly numbers on reply and booking rates, and changes to the copy or timing as you learn what works. It is optional, a real share of clients do not take it, and nothing switches off if you decline.
